Managing Pending Switch Assets

The Pending Assets feature enables Managed Service Provider (MSP) accounts to view, import, and claim unassigned switches before associating them with end‑customer venues. This feature provides visibility into purchased devices and supports controlled onboarding.

As part of this workflow, switches are listed in the Pending Assets table before you claim them to an end‑customer venue. Devices are displayed based on purchase data retrieved from Salesforce or imported using a CSV file.
Note:
  • This feature applies only to switch assets in MSP accounts.
  • Switches in Pending Assets do not consume licenses. Licenses are required only when devices are claimed to an end‑customer venue. If sufficient licenses are unavailable, the system blocks the claim action.
  • In MSP accounts, if you delete a switch from an end‑customer venue, the system does not return the switch to the Pending Assets table.
Complete the following steps to manage Pending Switch Assets in an MSP account:
  1. From the navigation bar, select Devices.
    The Devices page is displayed, defaulting to the Device Inventory tab.
  2. Click the Pending Assets tab.
    The Pending Assets page is displayed, defaulting to the AP sub-tab.
  3. Click the Switch sub-tab.
    The page displays the following information:
    Devices - Pending Assets - Switch
    • Serial #: Displays the manufacturer‑assigned serial number that uniquely identifies the switch.
    • Source: Displays the origin from which the switch record was added, such as Salesforce or Manual import (CSV).
    • Model: Displays the hardware model of the switch.
    • Ship Date: Displays the shipment date of the switch as provided by the originating system.
      Note: The Ship Date is populated only for devices synced from Salesforce.
    • Created Date: Displays the date on which the switch record was first added to Pending Assets.
      Note: The Created Date is populated only for devices synced from Salesforce.
    • Visibility: Displays whether the switch is visible or hidden.
      Note: Salesforce data takes precedence over manually imported data, and fields such as Model, Ship Date, and Created Date are updated when a duplicate device exists.

    You can use the Search option to display only the table entries matching the specified Serial #, Model, Visibility, or Source; enter a minimum of two characters. Additionally, you can filter the list by selecting one of the options from the Model drop‑down menu and the Created Date filter. The Model drop‑down list displays the available models, and the Created Date filter enables you to select a predefined or custom date range. Click Clear Filters to reset the filters. The Created Date filter then resets to All Time if it was changed to another date option. You can sort the list by clicking the associated column header.

    You can customize which fields appear in the table by clicking the icon and selecting or deselecting the desired column names. Drag and drop individual column names up or down the list to customize the left‑to‑right column display in the table. Optionally, you can click Reset to default to restore the default subset of columns.

  4. (Optional) Click the Show hidden devices checkbox to display switches hidden from the default view.
  5. (Optional) Click the icon to reload the latest pending asset information.
    Refreshing the list syncs data with Salesforce. This operation adds newly discovered switches and updates existing records, including those previously added through manual CSV import.
  6. Click the checkbox for one or more switches to display and access the available management options:
    • Claim Device: Allows you to assign the selected switches to an end‑customer venue.
      Note: You can select devices in a failed claim state and claim them again after resolving the issue.
    • Hide Device: Allows you to hide the selected switches from the default view.
      Note: Hidden devices can still be claimed when Show hidden devices is enabled.
    Note: You can claim up to 256 devices at a time.
  7. (Optional) Claim one or more switches by clicking the associated checkbox(es) and then clicking Claim Device.
    The Claim Device sidebar is displayed.
    Claim Device
    1. Select an MSP Customer (end‑customer tenant) from the drop‑down list.
      The system checks for available licenses before completing the claim and blocks the operation if licenses are unavailable.
    2. Select a destination Venue from the drop‑down list.
    3. (Optional) Click the checkbox Use Prefix/Suffix for Device Names and enter the Prefix and Suffix fields.

      The system names the device by placing the prefix at the beginning, the custom name in the middle, and the suffix at the end.

    4. (Optional) Click the checkbox Use Serial # as Custom Switch Name. The system auto-populates the Custom Switch Name, Serial #, and Model.
    5. Click Claim to complete the operation and close the sidebar.
      The claimed switches are moved from the Pending Assets tab to the Device Inventory tab.
  8. (Optional) Hide one or more switches by clicking the associated checkbox(es) and then clicking Hide Device.
    A toast notification is displayed, indicating that the update to the selected switches was successful.
  9. (Optional) Click Import.

    The Import from file sidebar is displayed.

    Complete the following steps to import Pending Switch Assets:

    1. Click Download CSV template to download the CSV template to your local machine.
    2. Open the downloaded template file on your local device, enter the required details, and save the file.
      Note:
      • You must use UTF-8 encoding with comma (CSV) as the delimiter, include only one header row immediately before the device data, and ensure that lines starting with # before the header row are treated as comments and ignored during import.

      • You must enclose field values in double quotes ("") if they contain commas, new lines, or double quotes, and represent a double quote inside a field using two double quotes (""). Follow standard CSV formatting rules (RFC 4180) to ensure successful import.

      • You must set all columns to Text format before entering data in Microsoft Excel and save the file as CSV UTF-8 (Comma delimited) (*.csv) to prevent formatting issues.
      • Serial Number (mandatory) must follow the format PPPnnWWYsss, where PPP is the product code (3 uppercase letters), nn is the facility or supplier code (2 alphanumeric characters), WW is the manufacturing week (01–53), Y is the manufacturing year code (1 uppercase letter except I and O), and sss is the serial number (3 base-32 digits excluding I, O, Q, U).
      • You must avoid leading or trailing spaces and must not modify the header row.

      The import file must meet the following requirements:

      • The import file must be in CSV format, contain no more than 10,000 entries, and must not exceed 5 MB in size.
      • If a device with the same serial number already exists, the imported entry replaces the existing record.
    3. In the Import from file sidebar, drag and drop the CSV file into the upload area, or click Browse to select the file.
      You can replace the file by clicking the Change File button, which allows you to browse and upload a new file.
    4. Click Start Import.
      The Import from file sidebar closes automatically, and an in-progress toast notification is displayed.
    5. Click the icon to view the import status.
      After an import operation completes, the Activities sidebar displays the import result, including the number of pending assets imported successfully and the number that failed. When failures occur, you can download a detailed error report directly from the corresponding activity notification.
      Note: Reports are also available for download by clicking Manage My Account and selecting Administration > Timeline > Activities.
