Adding and Managing Conference Rooms
You can add conference rooms, import conference rooms from a file or Property Management System (PMS), manage conference room details, status, and identity associations, and schedule events associated with the conference room as part of Property Management for a venue.
- The Property Management feature must be enabled at the venue level to add or manage a conference room.
- You can edit the venue-level Property Management configuration only after deleting all property units (including conference rooms) from the venue.
- Ensure that the Enable Identity Auto Clean-up setting for the associated identity group is disabled to prevent inactive identities (over 30 days) from being removed before future events.
Complete the following steps to add and manage conference rooms:

In the navigation bar, select
Venues.
The Venues page is displayed.

Click the Venue name.
The details page is displayed for the selected venue, defaulting to the Overview tab.

Click the Property
Units tab.
The Property Units page is displayed, defaulting to the Units sub-tab.

Click the Conference Rooms
sub-tab.
The Conference Rooms page displays the following information:
- Conference Room Name:
Displays the conference room name. The name is a hyperlink; clicking it opens the
details page for the selected conference room, which also includes the Identity and Scheduling tabs.
- In the Identity tab, the
table displays Identity
Name, Display Name, Status, Email, Description,
Devices,
and Assigned
AP. The Add Identity Association option opens the Add Identity
Association sidebar, which displays a list of available identities
and allows you to select and associate identities with the conference room. If no
identities are associated, select one or more identities, and then click
Add to
associate them. Refer to Associating Multiple Identities with a Property Unit or Conference Room for more details.Note:
- Linked identities are associated at the room level and are not event attendees.
- A maximum of 10 identities can be associated with a conference room.
- The Scheduling tab displays events associated with the conference room. Refer to Viewing and Scheduling Conference Room Events for more information.
- In the Identity tab, the
table displays Identity
Name, Display Name, Status, Email, Description,
Devices,
and Assigned
AP. The Add Identity Association option opens the Add Identity
Association sidebar, which displays a list of available identities
and allows you to select and associate identities with the conference room. If no
identities are associated, select one or more identities, and then click
Add to
associate them. Refer to Associating Multiple Identities with a Property Unit or Conference Room for more details.
- Status: Displays the current state of the conference room (Active or Suspended).
- VLAN: Displays the VLAN assigned to the conference room.
- Identities: Displays the number of identities associated with the conference room.
- Source: Displays whether the conference room is created in the UI or imported.
- Conference Room Email: Displays the email address configured for notifications.
- Conference Room Phone: Displays the phone number configured for SMS notifications.
You can use the Search option to display only the table entries matching the specified conference room name, source, email, or phone number; enter a minimum of two characters. Additionally, you can filter the list by selecting Status from the drop-down list (options are Active and Suspended). Click Clear Filters to remove the applied filters.You can customize which fields appear in the Conference Rooms table by clicking the
icon and
selecting or deselecting the desired column names. Drag and drop individual column names
up or down the list to customize the left‑to‑right column display in the table.
Optionally, you can click Reset to default to restore the default subset of columns. You can sort
the list by clicking the associated column header. - Conference Room Name:
Displays the conference room name. The name is a hyperlink; clicking it opens the
details page for the selected conference room, which also includes the Identity and Scheduling tabs.

(Optional) Click Add Conference Room to
manually configure and add a new conference room.
The Add Conference Room sidebar is displayed.Complete the following fields, then click Add:
- Conference Room Name: Enter a unique name for the conference room. The name must be unique within the property.
- (Optional) DPSK Passphrase: Enter a passphrase that you want users to provide before they can access the network. Within a DPSK pool, the passphrase length is set by the administrator. The passphrases must adhere to the administrator-configured setting, which can range from 8 through 63 characters. If left empty, a passphrase will be generated by the system. Refer to Adding a DPSK Service for more information.
- (Optional) VLAN: Enter a VLAN ID (ranging from 1 to 4094).

(Optional) Guest DPSK
Passphrase: Enter a passphrase that you want only guest users to provide
before they can access the network. Within a DPSK pool, the passphrase length is set
by the administrator. The passphrases must adhere to the administrator-configured
setting, which can range from 8 to 63 characters.
Note: This field appears only when the Enable Guest DPSK for Units option is enabled in the Property Management configuration.

(Optional) Separate VLAN for Guests: Toggle the switch on to
enable the guest VLAN and enter a VLAN ID (from 1 to 4094) for guests that does not
match the VLAN chosen in the preceding VLAN field.
Note: This field appears only when the Enable Guest DPSK for Units option is enabled in the Property Management configuration.

(Optional) Hide system generated
identities: Toggle the Hide system generated
identities switch on to hide the automatically created Unit DPSK and
Guest DPSK identities, including their passphrases and devices, from the Resident
Portal.
Note: Any identities you add manually to the unit will still be shown in the Resident Portal, even if system‑generated identities are hidden.
- (Optional) Conference Room Email: Enter an email address to receive notifications.
- (Optional) Conference Room Phone: Enter a phone number to receive SMS notifications.
The conference room is created with up to two system-generated identities and is available for associating events and attendees. System-generated identities are used for network access unless overridden by event-based identity associations.Note: Notifications may be sent with access details based on the configured settings. -
(Optional) Click Import from PMS to import
conference room configurations from an integrated third-party PMS. Refer to Property Management System for more information on
the PMS integration feature.
Note: When you click Import from PMS, RUCKUS One connects to the configured PMS and retrieves conference room information associated with the selected PMS property. Conference rooms are identified and imported based on the criteria and classifications defined in the integrated PMS.
An Import from PMS dialog box is displayed, indicating that the importing of conference rooms from PMS is in progress, and after the import is completed, the page refreshes automatically.
The Conference Rooms table is updated, and the Source column displays PMS to indicate that the data is imported from the PMS. The system automatically does the following:- Creates conference rooms based on PMS data.
- Updates existing conference room details during synchronization.
- Maintains PMS as the source for imported conference rooms.

(Optional) Click Import from File to import
multiple conference rooms at once.
The Import Conference Rooms From File sidebar is displayed.Complete the following steps to import conference rooms:
- (Optional) Click Download template to download the CSV template to your local machine.

Open the downloaded template file on
your local device; enter the required details:

Unit Name: Enter a unique conference room name.

(Optional) DPSK Secret: Enter a passphrase that you want users to provide before they can access the network. Within a DPSK pool, the passphrase length is set by the administrator. The passphrases must adhere to the administrator-configured setting, which can range from 8 to 63 characters.

(Optional) Hide system generated identities: Enter TRUE to hide the auto‑created Unit and Guest DPSK identities from the Resident Portal, or FALSE to show them.

In the Import Conference
Rooms From File sidebar, drag-and-drop the CSV file into the upload area,
or click Browse
to select the file. You can replace the file by clicking the Change File button, which
allows you to browse and upload a new file.
Note: The file must be in CSV format. The file may contain up to 512 entries, and the file size cannot exceed 5 MB.

Click Import.
If the import is successful, the Import Conference Rooms From File sidebar displays a message that the entries were imported successfully. If the import fails, the Import Conference Rooms From File sidebar displays an error message with details for each entry that failed to import.
If any entries fail to import, open the CSV file. Fix the issue for each entry that failed to import, remove the entries that were imported successfully, and save and close the file. Import the CSV file again.

Select the checkbox alongside the name
of the conference room to display and access the following options (usage of which is
described in the subsequent steps):
- Edit
- Suspend
- Activate (appears only for suspended conference rooms/units)
- View Portal
- Add Identity Association
- Resend
- Delete

(Optional) Click Edit to update conference
room details.
The Edit Conference Room sidebar is displayed. Update the required fields and click Save.

(Optional) Click Suspend to suspend an active
conference room.
A confirmation dialog box is displayed; click Suspend to suspend the conference room.The conference room and all associated identities are suspended and cannot access the network during the suspended state. You can activate a suspended conference room using the Activate option.Note: Scheduled events may not provide network access while the conference room is suspended.

(Optional) Click Activate to reactivate a
suspended conference room.
Note: This option appears only for suspended conference rooms.All identities and network access associated with the conference room are restored.

(Optional) Click View Portal to open the conference room portal in a new browser
tab.
A new tab opens, displaying the portal page with the message Welcome to Your Portal. The portal provides access to conference room network details and associated information.

Click Access Your Portal.
The portal provides access to conference room network details and associated information. The portal includes:
- Unit Wi‑Fi section with the Wi‑Fi passphrase (with options to view or edit).
- A device table showing Device Name, OS, MAC Address, Last Seen, and Alias.
- An Identity Devices section for selecting and managing associated identities.
- Select an identity from the Select an identity drop-down and associate identity devices with the conference room.

Click Access Your Portal.

(Optional) Click Add Identity Association to
associate multiple identities with a conference room.
The Add Identity Association sidebar is displayed with a list of identities. Refer to Associating Multiple Identities with a Property Unit or Conference Room for more details.

(Optional) Click Resend to resend access
details by email or SMS.
A toast notification is displayed indicating that the room assignment SMS or email has been sent to the conference room contact.

(Optional) Click Delete to permanently remove
the conference room.
A confirmation dialog box is displayed. Click Delete to delete the conference room.Note: Deleting a conference room also removes any associated configurations and scheduled events.

Select the
icon in the upper right-hand corner to export and download the
conference room list in CSV format.
